Webhooks vs Polling — Why Real-Time Triggers Will Transform Your Workflows

Most beginners use scheduled triggers. Webhooks are faster, cheaper and more reliable. Here is how to switch — and which services to connect first.

If your AI agent workflow runs "every 15 minutes" to check for new data, you are polling. Polling works, but it introduces delays, wastes API calls on empty checks, and creates a 15-minute window where nothing happens when it should. Webhooks eliminate all three problems.

The Core Difference

Polling: your workflow wakes up every 15 minutes and asks "is there any new data?" Usually the answer is no. Occasionally the answer is yes. You pay for every check whether or not there is work to do.

Webhooks: the external service sends your workflow a notification the instant something happens. Your workflow sleeps until it receives a signal, then processes immediately. Response time goes from up to 15 minutes to under 2 seconds. API calls drop by 95%.

Setting Up Your First Webhook in Make.com

Add a Webhooks trigger to your scenario. Select "Custom webhook." Make.com generates a unique URL. Copy it. Go to the external service (Stripe, Typeform, GitHub, etc.) and paste this URL into their webhook settings. Select which events to send. Back in Make.com, click "Redetermine structure" and trigger a test event — Make.com automatically maps all incoming fields.

The Five Services to Connect First

Stripe — payment success/failure triggers your CRM update, personalised receipt and onboarding sequence instantly. No more checking Stripe logs manually.

Typeform — new form submission triggers your lead research agent, personalised follow-up sequence and CRM creation in seconds, not minutes.

Calendly — new booking triggers company research, meeting prep brief generation and CRM update before your first reply email arrives.

GitHub — new issue or PR triggers team notification, Notion task creation and documentation update automatically.

WooCommerce — new order triggers inventory update, personalised receipt and fulfilment workflow without any manual checking.

Webhook Security

Keep your webhook URL private — anyone who has it can send data to your workflow. For production workflows, enable IP allowlisting in Make.com's webhook settings to only accept requests from the external service's known IP ranges. Most major services publish their IP ranges in their documentation. Stripe, GitHub and Shopify also send a signature header you can verify to confirm the request is legitimate.
